Meetsko

Scheduling across organisations

Find the time, effortlessly — across organisations.

Meetsko shows everyone on a project when they're free, in real time and in a single view — whether they sit in your own firm, at the client or with a partner. Create and manage project events in the same place. No email ping-pong, no heavyweight access processes.

  • Free/busy times only — no titles, no content
  • Microsoft 365 and Outlook
  • Invites from Meetsko straight to your Outlook calendar
  • Manage all project events in one place

The problem

There's no calendar visibility across organisations.

Outlook only shows you when people in your own organisation are free — there's nowhere to see when the client's leadership team, your partner's specialists and your own team are all available. So the time gets hunted down by email, polls and calls between assistants.

Today: email ping-pong

  1. You propose three slots to eight people from three organisations.
  2. Replies trickle in over several days, some via assistants.
  3. None of the slots works for everyone. Another round.
  4. By the time a slot is agreed, someone has already booked it.
Typically days, not minutes

With Meetsko

  1. Invite participants to the project once — each connects their own calendar.
  2. See everyone's availability, up to date, on one timeline.
  3. Pick the best of the suggested slots.
  4. The invite goes out from your email and lands in your Outlook calendar.

How it works

Three steps, nothing to install.

Meetsko runs in the browser. Every participant uses their own Microsoft account in their own organisation — nobody has to build a calendar connection between organisations.

01

Create a project and invite stakeholders

Add people from your firm, the client and partners. Group them by organisation and give admin rights to external members where needed.

02

Everyone connects their own calendar

Participants sign in with their own Microsoft account and grant read access. They can revoke it at any time with a single click.

Find the time and send the invite

Meetsko's smart scheduling finds times that suit the participants, duration and date range you choose. The invite goes out from your email and lands in your Outlook calendar — just as if you'd created it in Outlook yourself.

Features

Built for projects that span organisations.

Project availability at a glance

The whole project team's free time in one window, grouped the way you need it.

Roles and scoped visibility

Project members only see the free time of people on their own projects, plus public project events created in Meetsko. No other calendar data is ever shared.

Secure without the complexity

Meetsko reads free/busy times only. Each user grants access to their own calendar, and where required, the company's IT department approves the app. No heavyweight calendar sharing between organisations.

Under the hood: per-user delegated Microsoft Graph permissions. No organisation-wide application permissions and no cross-tenant federation.

Control your visibility per project

Choose per project, on a recurring or one-off basis, which of your calendar's time slots others can see. Everything else shows as busy.

Find a common time, smartly

Choose the participants and the meeting length. Meetsko finds free slots automatically, fits recurring meetings to suit as many people as possible and creates the events.

Manage project events in one window

Manage and edit every project event created in Meetsko in one window — and decide whether other project members can see them.

Privacy

We see when you're busy. Never with what.

Company calendars are confidential: client names, deal code names, hiring. That's why Meetsko strips event content before anything is stored.

  • Content is stripped on the server. Only status and start and end times are kept. Titles and other meeting details are never stored on the server.
  • Everyone stays in control. Access is granted from each person's own account and can be revoked at any time — which ends calendar sharing and deletes your data.
  • Write access only on request. Meetsko writes to a calendar only if the participant explicitly allows sending invites in that project.
  • Encrypted credentials. Calendar connection tokens are stored encrypted on the server, not in the browser.

FAQ

Frequently asked questions

Can't find your answer? We're happy to walk you through it in a demo.

Does the client's IT department need to approve it?

Usually not. Each participant connects only their own calendar from their own account, and Meetsko doesn't request organisation-wide permissions. If an organisation restricts user consent to apps, an administrator can approve Meetsko once for the whole organisation.

What can other participants see in my calendar?

Only when you're busy and when you're free. Event titles, locations, descriptions and attendees are removed before anything is stored, and are never shown to anyone. You can also limit which of your time slots are visible to a project.

What if a participant doesn't connect their calendar?

They're shown in the project as "Availability not shared", and shared free time is calculated from the participants who have connected. You can still invite them to meetings as usual.

Which calendars are supported?

Microsoft 365 and Outlook, with both work and personal Microsoft accounts. Google Calendar support is on the roadmap.

Is the invite sent by Meetsko or from my own email?

From your own email. The meeting is created in your Outlook with you as the organiser, so replies, changes and cancellations work exactly as they always do in Outlook.

Can I revoke access?

Yes, at any time from your own settings. Revoking immediately stops calendar reads and change monitoring, and deletes your existing calendar times from Meetsko.

Built from everyday project work

Meetsko was born out of a real need. In project work, one of the most frequent and time-consuming tasks is lining up calendars — especially when participants come from different organisations. Meetsko's founder comes from the consulting world, and every feature is built to solve problems met in real project work.
